Owner Payments

Do short-term rental operators hold rent paid by a guest in a trust account, or do they pay out before the guest actually stays in the rental house?
Short-term rental (STR) operators, especially professional property managers like VRMV (Vacation Rental MV), typically hold guest payments in a dedicated trust (or escrow) account and disburse net amounts to owners after the guest stay (or at month-end), rather than paying out before the guest arrives. Our trust account is held at JPMorgan Chase Bank and is 100% exclusive to guest rental payments. There is no comingling of funds.
This practice follows standard trust accounting principles, which are common (and often legally required) in the industry to ensure compliance, protect funds, and handle potential issues like cancellations, damages, or refunds.
How It Usually Works
- Guest payments: Guests often pay a deposit (e.g., 50%) at booking and the balance 30+ days before arrival (or in full for some platforms). These funds go into the manager's/owner's trust account—separate from operating funds.
- Holding period: Money is held as a liability until it is "earned" (typically at guest arrival/check-in, departure/check-out, or after any dispute window). This allows for adjustments (e.g., confirmed post-stay cleaning fees, damages, or refunds).
- Disbursements to owners: Property managers usually process monthly owner statements and payouts (e.g., around the 10th–15th of the following month, or on set schedules such as the 10th/20th/last business day). They deduct fees, expenses, taxes, etc., then transfer the net amount from the trust account.
Payouts before the guest's stay are rare and risky for managers, as they could lead to cash flow issues or non-compliance if the booking is canceled or problems arise. Some smaller or direct-booking operators might release funds faster, but best practices and regulations favor post-stay/month-end timing.
Platform-Specific Examples
- Airbnb/Vrbo (direct or via co-hosting): Platforms typically release payouts to hosts ~24 hours (or 1 business day) after guest check-in. For longer stays, it's often monthly. The host/manager doesn't get funds before the stay begins.
- Professional managers using management tools: Funds from guests/OTAs go into a "rents in trust" escrow account. Owners receive net payouts monthly after statements are generated, with clear tracking of earnings.
Why Trust Accounts and Post-Stay Disbursement?
- Legal/compliance: Prevents commingling of funds. Many states require separate trust accounts and timely (but not premature) disbursements.
- Risk management: Covers security deposits (refunded post-stay), damages, vendor payments, etc.
- Transparency: Owners get detailed statements showing revenue, deductions, and net payout.
- Accounting: Guest payments are posted as liabilities. VRMV owes the guest either a stay in a property or their money back. Once the stay occurs, the liability is paid out to the owner, cleaner, property manager, tax authority, etc.
Practical Applications
- Regular Payments: If you rent with Vacation Rental MV, you will receive an ACH transfer to your account monthly. These regular payments will provide you with cash flow. We typically pay within 10 days of the close of a month.
- Financial Discipline: Until the rental is completed, the guest has not received what they paid a deposit for. It is a liability, and that requires the funds to be held in trust until the rental is completed.
- Safety: Owners and Guests are both served by allowing for time after the rental to pass to handle any damages or claims that might be made from either side. VRVM is your trusted partner to protect your interests.
